Overview of Hybrid Conferences
The poster session will be conducted through the ORSAM system. Initially, posters (in PDF format) can be accessed through the ORSAM participation and abstract registration system. Both presenters and viewers can post comments to the ORSAM comment box for questions and discussions. The poster viewing and commenting options will be available throughout the conference. On 4th September, poster presentations will take place in the Zoom breakout rooms. Each presenter will be assigned a specific room number in the breakout room at their allocated time. Presenters will deliver a brief presentation using PowerPoint and other tools, followed by a Q&A session with the attendees. There will be no on-site presentations by poster presenters.
Poster Presentations
【Submission of a poster file】
It is recommended that posters be made in landscape continuous page format for easy viewing on a PC screen. Font size should also be selected based on readability on a PC screen. Please convert your poster to PDF format. Due to system settings, posters other than PDF cannot be registered. Please keep the size of your poster to 2 MB or less for comfortable viewing. The maximum size is 3 MB.
Please upload your PDF file to ORSAM between August 17 and August 24. Uploading instructions will be provided to presenters.
【Viewing Posters】
Posters will be available for viewing from Friday, September 1.
Core time for poster presentations will be set from 13:00 to 17:00 on September 4. During the core time, please enter the Zoom breakout room to present and answer questions in real time. The core time is divided into three sections, A, B, and C, for the entire session. We also have time from 16:00-17:00 to assign breakout rooms to all presenters to allow time to discuss again with presenters who were missed, but presenters are not necessarily in the breakout rooms during this time, so please use the comments section of ORSAM to communicate between presenters and the Please use the breakout room to communicate with the presenters and the audience in the comments section of ORSAM as appropriate.
During the period when the web abstracts (ORSAM Portal) are available (September 1 to October 1), you can view the posted posters and use the comments section for questions and answers. However, we expect that most participants will view the web abstracts during the conference period from September 1 to 9, so please try to conduct your Q&A session during this period if possible. Presenters can set up ORSAM to send an e-mail to presenters to notify them when comments are received.
【Handling of Poster Data】
Posters will be available in the ORSAM Portal until October 1, after which they will be automatically deleted. If you wish to have your poster data deleted immediately after the conference, please check the "I wish to have my poster data deleted" checkbox when uploading your poster.
Hybrid Oral Presentations
Oral presentations will be presented in a hybrid format, and presenters can deliver presentations on-site or online. Presenters will access Zoom from their personal computers and present via screen sharing. To ensure seamless communication during hybrid presentations, the Hokkaido Congress Organizing Committee plans to utilize audio mixers at all venues and provide WiFi for presenters in addition to the existing internet connection. Although we cannot guarantee that there will be no problems, we will attempt to create an environment that enables smooth communication as much as possible.
- Each presentation time is 14 minutes and 30 seconds including PC connection time (including 2 minutes and 30 seconds for Q&A).
- Presenters may present either on-site or online. However, please connect to the Internet before the previous presenter finishes his/her presentation. On-site presenters will be given the SSID and password for the presenter's WiFi connection at the next presenter's table. Please be sure to disconnect the connection to the presenter-only WiFi after your presentation is over.
- Presenters are requested to 1) connect their PCs to Zoom via the Internet, and 2) share their presentation files on a common PC connected to the LCD projector at each venue. Please be sure to bring your own PC for presentation (with Internet access and Zoom and PowerPoint installed). The details of the Internet connection for presenters and screen sharing via Zoom will be announced separately. The conference organizing committee will not assign staff to handle the PCs and projectors. Only one screen is provided at each venue. Simultaneous projection using multiple projectors is not allowed.
- On-site presenters will present using a microphone, and the sound will be transmitted online and output from the speakers at the venue. To avoid feedback, on-site presenters should mute the microphone function of Zoom and be sure to mute the speakers on their PCs. In addition, to prevent slowdown of WiFi at the venue, please do not connect to Zoom for anyone other than the presenter at the venue.
- Online presentations will be conducted in the same way as on-site presentations, using screen sharing via Zoom over the Internet. The Zoom microphone audio from the online PC will be heard not only by the online audience but also by the audience at the venue via the venue speakers.
- Questions and answers will be conducted both onsite and online through the microphone. Online participants may use the chat function of Zoom, but on-site presenters will not have access to the chat, so we recommend posting questions in the comments section of the Web Abstracts Book (ORSAM). The comments section of the Web Abstracts will be available for viewing and writing at all times during the conference.
Poster Presentations by High School Students
Only high school students' poster presentations will be held on-site and will not be available for online participation. We appreciate your patience in this regard.
